Managing Users

The Users section of the Admin Console lets you search, create, edit, or delete user accounts.

Searching for users

  • Click the Search icon (with no filters) to generate a list of every user — internal and external — on the platform.
  • The list displays each user's email address, name, assigned roles, status, creation date, and last online date. All columns are sortable.
  • To narrow the list, search by group, or by typing all or part of a user's name or email.
  • Click a user's email address to view and edit their roles, quota, and other account details.

Creating a new user

  1. Click Create User.
  2. Fill in the account details: First name, Last name, Email address, Phone, and Quota (in MB).
  3. Assign the user to one or more Supported Secrata User Groups using the group checkboxes/dropdown.
  4. Click Add User to create the account.

Editing group membership

  • To add a user to a group, select the group from the dropdown menu.
  • To remove a user from a group, uncheck the box next to that group.
  • Click Save to apply your changes and return to the user page.

Disabling or removing a user

Action Effect
Disable User Temporarily blocks the user's access to Secrata; the account can be re-enabled later
Remove User Permanently deletes the account; the associated email address can be reused for a new account in the future

Note: Secrata integrates with AD/LDAP. If an IT admin changes a user's password in AD, their Secrata authentication password updates automatically, but their Passcode does not. Likewise, deleting a user's AD account removes their access to Secrata. This behavior only applies to AD-managed users, not external accounts.
